The Email Inbox is Just a Tool
Your email inbox is just a tool. Just because you have it and just because someone decides to send you something doesn’t mean you have to stop what you’re doing to answer it. There is a right way to use your email and a wrong way to use your email for increased productivity. Here is a way that will let you in on how to very simply and quickly to sort through your email inbox to accomplish a productive day.
Keep in mind your inbox is mostly filled with other people’s agendas.
Use your email first thing every morning just with the following focus.
- Start your day with a list of names and companies you need to follow up with to get your work done for the day.
- If you are waiting on something and received it reply.
- If you are waiting for something and have not received it, send a polite reminder or make a quick phone call. Actually talking to people on the phone is sometimes quicker and more efficient than emailing back and forth.
That is how to check your email.
The above very simple process allows your agenda… your work… your priorities to stay front and center until they’re accomplished each day. After all your work is done for the day, you are able to check your inbox and other messages that are not part of your agenda. It is important to develop a system to deal with those other emails. Remember not every email requires a response. Most days you should be able to get down to “inbox-zero”.
